    Why Your AI Output Sounds Generic — And the One Fix That Changes Everything

    If you've experimented with AI in your business, you've probably had this experience: you ask it to write something - an email, a social post, a page of your operations manual - and what comes back is technically fine but completely forgettable. It could belong to any business, in any industry, anywhere.

    That's not because AI is bad at writing. It's because AI doesn't know your business.

    Every AI tool works from the information it's given. When you give it nothing beyond a one-line request, it fills the gaps with averages - the average brand voice, the average customer, the average business. The output is generic because the input was generic.

    The fix isn't better prompts. It's better context.

    I can say that with some confidence because I've spent this year testing it. Since January, I've been deliberately learning AI and applying it to franchising - not reading about it, but using it daily in my own business and in my work with clients. Some of what I've tried has been underwhelming. But one approach has consistently outperformed everything else: building what Kate VanderVoort of the AI Success Lab calls a Business Intelligence Centre - a small library of foundation documents about your business that you create once, then reuse every single time you work with AI. I learned the framework from Kate, and it has changed how I use AI every day.

    What a Business Intelligence Centre Actually Is

    Think of it as an induction pack for AI. If you hired a marketing assistant tomorrow, you wouldn't expect them to write well for your business on day one. You'd brief them - on your brand, your customers, your services, your story, your market. A Business Intelligence Centre is that briefing, written down and permanently available.

    In practice, it's a set of plain documents covering the fundamentals of your business:

    • Business Basics - what you do, how you operate, your structure and model

    • Brand Playbook - your voice, tone, values, and how you want to sound

    • Founder Story - why the business exists and the journey behind it

    • Professional Me - your background, credentials, and positioning

    • Service Portfolio - what you offer, at what level, for whom

    • Target Market - who your ideal customers (and franchisees) actually are

    • Customer Journey - how people find you, decide, buy, and stay

    • Market Analysis - your competitive landscape and where you sit in it

    • Content Playbook - the topics you own and how you talk about them

    None of these documents is complicated. Most are one to three pages. But together, they mean that any AI tool you use - ChatGPT, Claude, Gemini, whatever comes next - is working from your reality rather than the internet's average.

    Why This Matters More for Franchisors

    For a single-location business, generic AI output is an annoyance. For a franchisor, it's a genuine risk.

    Your brand voice isn't just marketing - it's an asset your franchisees are buying into. Your target market definition isn't a nice-to-have - it drives recruitment, site selection, and local area marketing across the whole network. When AI-generated content drifts off-brand or misdescribes your customer, that drift multiplies across every franchisee, every territory, every touchpoint.

    There's a second reason this matters. As a franchisor, you're not just using these documents for AI. Codifying your brand, your customer, your journey, and your market is exactly the discipline franchising demands anyway. If you can't write a clear one-page Target Market document, you're not ready to hand your model to a franchisee. Building a Business Intelligence Centre is a useful stress test of how well you actually understand your own system.

    How to Build Yours

    You don't need special software and you don't need to do it all in a weekend. Here's a practical sequence.

    • Start with the three that change everything. Brand Playbook, Target Market, and Service Portfolio do the heaviest lifting. Almost every AI task - content, communications, recruitment material - improves immediately once these three exist. Do them first.

    • Write in plain language, not marketing language. These documents are for a machine to read, not a customer. "Our customers are time-poor tradies aged 30 to 50 who hate paperwork" is more useful than three paragraphs of brand poetry. Be specific, be blunt, be honest about weaknesses as well as strengths.

    • Use what you already have. Your franchise documentation, your website, past customer feedback, your induction materials - most of the raw content already exists. You can even use AI to help: paste in your existing material and ask it to interview you about the gaps, one document at a time. Answer its questions out loud or in writing, then have it draft the document for your review.

    • Pro tip: use two AI tools, not one. Here's a workflow I use myself. Don't ask ChatGPT or Claude to build a document cold. Instead, go to Perplexity first and ask it to research and write a detailed prompt for the document you want. For example, "Write a comprehensive prompt I can use to create a Target Market document for a service business preparing to franchise." Perplexity is strong at research, so the prompt it produces will be structured and thorough. Then take that prompt into ChatGPT or Claude which are stronger writers and use it to build the actual document. Two tools, each doing what it does best. The quality difference is significant.

    • Review like a franchisor, not a founder. Before you finalise each document, ask: if a brand-new franchisee read this, would they understand it and could they act on it? If yes, an AI can too.

    • Store them where you'll actually use them. A single folder in Google Drive, a Notion page, or a project inside your AI tool of choice. The test is friction: if attaching the right documents to an AI conversation takes more than thirty seconds, you won't do it.

    How to Use It Day to Day

    Once the documents exist, the workflow is simple. Before any meaningful AI task, attach or paste the relevant documents, then make your request. Writing franchisee recruitment copy? Include Target Market, Brand Playbook, and Founder Story. Drafting a customer email sequence? Include Customer Journey, Service Portfolio, and Brand Playbook. Planning content for the quarter? Content Playbook and Market Analysis.

    The difference in output quality is immediate and obvious. You'll spend less time editing, the voice will be consistent whether you or a team member ran the prompt, and - critically for franchisors - the same foundation can eventually support your franchisees' local marketing without the brand fracturing.

    One more benefit worth noting: these documents make you portable. AI tools will keep changing. Whatever platform wins next year, your Business Intelligence Centre moves with you. The investment is in clarity about your business, not in any particular piece of software.

    The Principle Behind It

    AI is only ever as good as what it knows about you. Most business owners try to solve that in the prompt, every single time, from scratch. Franchisors who live and die by documented, repeatable systems should recognise the better answer instantly: document it once, use it everywhere.

    You already believe in operations manuals for your franchisees. A Business Intelligence Centre is simply an operations manual for your AI.

    Build it once. Use it daily. Watch the quality of everything AI touches in your business lift accordingly.
